What is the File Repository?
The File Repository is a centralized home for all approved digital assets—from brand imagery to building documents like safety policies, floor plans, and tenant handbooks. Standardize how files are stored and accessed, ensuring consistency, reducing operational friction, and confidently providing tenants with the most accurate, up-to-date information.
How Does it Work?
Uploading a File

Navigate to File Repository in the left-hand navigation of your admin panel

Click Add File

Browse and select the file from your computer (maximum file size: 5GB)

Choose a category (Brand Asset, Tenant Resource, Building Information, or Other)

Select whether the file applies to specific buildings or all buildings (portfolio-wide)

Enter an internal description for the file - this will only be visible to other admin users

For Tenant Resources, Building Information, or Other: toggle Display on web app if you want the file to appear in the Support Materials section

Click Add to upload
Managing Files
Once uploaded, files will appear in your File Repository table where you can:

Preview files by clicking to open them
-
Edit details, including category, building assignments, or descriptions

View upload information showing who uploaded the file and when
-
Remove files as needed
Any file type can be uploaded to the repository; however, preview is only supported for select file types.
How to Display Files to Tenants
Option 1: Web Portal Support & About Section
Display files directly on the tenant portal web experience by toggling on "Display on web app" when uploading. Only files categorized as Tenant Resources, Building Information, or Other can be displayed in the Support Materials section.
In the Support Materials section, tenants can:

View when files were last updated

Preview files directly in the browser

Download files to their computer
This is a great way to ensure evergreen or rarely updated materials like tenant handbooks, floorplans, or safety policies is always available to tenants.
Option 2: Content Posts (Mobile & Web)
Share files through content posts that appear on both mobile and web experiences:
Embedding Media: Add approved images, videos, or audio files directly within your post content using the attach icon and selecting files from the repository dropdown
The following media types can be embedded directly within content posts:

Images: JPEG, PNG, GIF, SVG, WebP

Video: MP4, WebM, MOV

Audio: MP3, WAV, AAC
Attaching Documents: Attach any file type (PDFs, handbooks, floor plans, etc.) to posts so tenants can open or download them directly from the content
Posts with repository files can be published to tenants and will automatically be available across both the mobile app and web portal.
What Admin Roles are Required for File Repository?

Super Admin - Can see and do everything in file repo

Programmer - Can see and do everything in file repo

User Admin - No access

Operator - No access

Viewer - No access
