Digital Signage Debuts, Visitor Kiosks Handle Walk-Ups on Their Own, and Resource Booking Talks to Outlook
July introduces Digital Signage, a new way to put HqO content directly on the screens in your lobbies and common areas, and gives the Visitor Kiosk a full self-service check-in flow for walk-up guests — including real-time host approval. Rounding out the release, Resource Booking now syncs bidirectionally with Outlook calendars, so bookings made in either system stay in lockstep.
Each update expands where and how tenants and visitors interact with HqO — on the screens they already look at, at the front desk without staff intervention, and inside the calendar tools teams already use.
Visitor Kiosk: Self-Service Check-In and Host Approval
Let Walk-Up Visitors Check Themselves In
The Visitor Kiosk now handles walk-up visitors end to end — no front-desk staff required. Visitors without a pre-registered visit can enter their details, select their host, and wait for real-time approval, all from the kiosk screen.

Three Check-In Flows: Visitors check in by scanning their QR code, searching by email or phone, or registering on the spot as a walk-up

Real-Time Host Approval: Walk-up requests notify the host by email and/or SMS, who can approve or deny directly from the notification or the admin portal

Automatic Badge Printing: Once approved, a badge prints automatically so the visitor can proceed without further steps

Full Branding Control: Customize kiosk colors, logo, background, welcome text, and check-in flow copy per building

Bring HqO Content to the Screens Tenants Already See
Digital Signage connects HqO to Telecine, so content and events published in HqO can appear directly on lobby, common-area, and other in-building screens — no separate content workflow required.

Resource Booking: Outlook Calendar Integration
Bookings Stay in Sync, Wherever They're Made
Resource Booking now connects directly to Microsoft 365, so bookings made in HqO write to the mapped Outlook calendar — and bookings made directly in Outlook block that time in HqO. Either system can be the starting point; both stay accurate.
