Resource Booking Grows Up
Cancellation Policies, Walk-Up Kiosks, and Tripleseat-Managed Spaces Join Resource Booking
This month's release rounds out Resource Booking with three capabilities property teams have been asking for: clear rules for late cancellations, a walk-up kiosk experience for shared spaces, and a direct connection to Tripleseat for event and meeting spaces. Together, they extend Resource Booking to cover more of the booking lifecycle — from browsing availability to canceling gracefully — and more of the spaces a building actually manages, including ones that live outside HqO entirely.
Each update closes a specific gap: fewer disputes over late cancellations, fewer app downloads required for walk-up bookings, and fewer manual workarounds for buildings running event spaces through Tripleseat.
Resource Booking Cancellation Policy
Set Clear Rules for Late Cancellations — and Stick to Them
Property teams can now define exactly how tenants are allowed to cancel a booking, and what happens when they cancel late. Set a late cancellation window, decide whether cancellations are allowed or blocked inside that window, and apply a refund percentage for paid resources. Policy terms are shown to tenants before they confirm a booking, so there are no surprises later.
Key Capabilities:
-
Configurable Cancellation Window: Define a cutoff — in minutes, hours, or days — after which a cancellation counts as late
-
Allow or Block Late Cancellations: Let tenants cancel late with an optional refund percentage, or disable cancellation entirely once inside the window
-
Cancel-After-Start Option: Optionally let tenants cancel even after a booking has already begun, with its own refund rule
-
Custom Cancellation Messaging: Add a message explaining the policy or next steps for tenants whose cancellation is blocked
Resource Booking Kiosk
Turn Any Tablet Into a Walk-Up Booking Station
Resource Booking Kiosk puts a dedicated booking screen on any touchscreen device — no app download or login required. Tenants can walk up to a lobby, floor, or amenity space, see real-time availability, and book instantly. Admins control the experience per kiosk, from a single resource to a curated collection of spaces.
Key Capabilities:
-
Single Resource or Collections Kiosk: Display one bookable space, or group several together for tenants to browse
-
Configurable Display Options: Choose whether to show booker names, company names, or a QR code that lets tenants book from the app instead
-
Optional User Identification: Require tenants to identify themselves before booking, or attribute walk-up bookings to a dedicated kiosk account
-
Ready for Real Hardware: Runs on iPad or Android tablets, with setup guidance for locking devices into kiosk mode and mounting them on a wall
Tripleseat Integration
Bring Tripleseat-Managed Event Spaces Into HqO
Buildings that manage event and meeting spaces in Tripleseat can now surface those spaces directly in the HqO app and web experience. Availability syncs in real time, so tenants always see an accurate calendar — and when they're ready to book, they're routed straight to the building's Tripleseat lead form to complete the request.
Key Capabilities:
-
Real-Time Availability Sync: Events booked in Tripleseat automatically block the corresponding time in HqO
-
Direct Handoff to Tripleseat: Tenants browse and check availability in HqO, then complete their booking through the building's existing Tripleseat lead form
-
Read-Only on Kiosk: Tripleseat resources can be viewed on a Resource Booking Kiosk, keeping walk-up browsing consistent across every resource type
-
One Connection, Every Imported Space: Once activated, all imported Tripleseat spaces stay in sync without manual upkeep
The Big Picture
May's release is about closing gaps in the resource booking journey, not opening a new one. Cancellation policies give property teams a fair, transparent way to handle late changes. Kiosk mode extends booking to walk-up tenants who never open the app. And the Tripleseat integration means buildings no longer have to choose between their existing event-space workflow and a unified tenant experience — HqO now meets Resource Booking wherever it already lives.
