March 2026

Mastering Multi-Day Visitors

Smarter Visitor Management for High-Volume, Enterprise Tenants

This month's updates focus on giving property teams and tenant hosts the tools to manage complex, high-volume visitor scenarios with ease. From multi-day visit flexibility to richer data capture and enhanced communications, March's releases make HqO's Visitor Management a true competitive advantage for enterprise tenants.

Capturing visitor context transforms visitor data from compliance records into strategic insights — helping landlords understand which companies are engaging with tenants, what activities drive traffic, and where to focus amenity investments.

Multi-Day Visit Enhancements

Simplify Multi-Day Visitor Management With Enhanced Flexibility and Control

HqO's multi-day visitor enhancements give tenant hosts and property teams complete control over extended-stay visitor experiences. Whether tenants are hosting events, trainings, or recurring guests, these capabilities provide the flexibility to adapt to changing schedules, keep everyone informed with automated communications, and efficiently manage high volumes of visitors.

Key Capabilities:

  • Multi-Day Notification Enhancements: Visitors receive a comprehensive initial invitation with their full schedule upon visit creation, plus same-day reminders delivered at 8am (or 1 hour before for early morning visits) — ensuring guests arrive prepared and informed each day

  • Bulk Upload Multi-Day Support: Process dozens or hundreds of multi-day visitor registrations simultaneously via the bulk visit form or an improved CSV template with readable headers and example rows. Dates that fall on weekends are automatically skipped.

  • Edit Multi-Day Visits: Update visit details, host information, or date ranges on existing multi-day registrations as plans evolve — including the ability to cancel individual visit days or remove all future days in a series

Visitor Management: Purpose, Company & Enhanced Table

Turn Visitor Data Into Strategic Property Intelligence

Visitor Company and Visit Purpose fields ensure important context is captured during registration and is accessible throughout the workflow. Both fields appear on the Create Visit form, Visitor table, and Visitor profiles — and are now included in communication templates, delivering more contextual, personalized messages to hosts and guests.

To support the richer data being captured, the Visitor table has been upgraded with column toggling and more responsive, dynamic filtering.

Why It Matters:

  • Actionable Property Intelligence: Understanding which companies are visiting tenants and what activities drive traffic helps landlords make smarter amenity investment decisions

  • Tenant Health Insights: Visitor volume and purpose directly correlate with tenant activity and satisfaction, giving property teams an early signal on engagement and retention risk

  • Personalized Communications: Visit Purpose and Company context flows into host and guest notification templates for more relevant, professional communications

Visitor Pass Print Configuration

Ensure Visitor Passes Print Correctly Every Time

Property teams can now configure visitor pass print settings to match their specific printer and badge specifications — including orientation (portrait or landscape) and custom dimensions. This ensures passes print correctly the first time, reducing friction at the front desk and maintaining a professional arrival experience.

Admin Navigation: Broadly Available

One Unified Platform for Every Stage of the Property Lifecycle

Following a beta rollout with select customers in January, the redesigned HqO Admin Navigation is now broadly available. The unified interface brings together every stage of the property lifecycle — from tenant management to operations — in a single, persona-driven platform designed to reduce context switching and streamline daily workflows for every member of the property team.

The Big Picture

March's updates transform Visitor Management from a compliance tool into a strategic asset — one that drives tenant empowerment, captures actionable intelligence, and delivers enterprise-grade capabilities that set properties apart. Combined with the broad availability of the new Admin Navigation, this month's releases make HqO faster, smarter, and more essential to tenant operations than ever.
