Resource Booking Payments
Charging Tenants for Resource Utilization
There are two flexible options for charging tenants when they book resources in your space:
Credit Card Payments: Instant payment at the time of booking, deposited into a connected Stripe account.
Account-Based Payments: Deferred payment managed by your property team, such as via rent statements or other collection methods.
Admins can enable either option individually or both at the same time.
Credit Card Payments
Credit card payments offer a quick, hands-off experience—ideal for teams that prefer immediate, streamlined transactions.
How to Set Up:
Go to Resource Booking Settings.
Toggle Paid Resources to “On.”
Select Credit Card Payments.
Connect your Stripe account. Need help connecting an existing Stripe account? Contact your HqO Account Team.

End-User Experience:
Tenants can enter and save a credit card during booking.
Cards are charged immediately at the time of reservation.
If the booking is canceled within the allowed window, a refund is issued automatically.
Cancellations outside the allowed window require a manual refund through Stripe.

Account-Based Payments
Account-based payments are best for properties that want more flexibility, allowing tenants to pay at a later time.
How to Set Up:
Go to Resource Booking Settings.
Toggle Paid Resources to “On.”
Select Account-Based Payments.
Add the tenant companies allowed to pay via invoice.

End-User Experience:
During checkout, eligible tenants can select “Invoice” as the payment method.
The property team is responsible for collecting the payment—this can be done through rent statements, checks, or other internal processes.

Tracking and Managing Payments
Transactions Tab (in Home):
Shows completed account-based bookings.
Exportable to CSV for use in rent statements or financial tracking.
Requests Tab (in Resource Booking):
Displays all bookings, including upcoming ones.
Useful for space and resource management.
Use both tabs together to monitor payments and usage effectively—Transactions for financial tracking, and Requests for operational oversight.
